An AI receptionist built into your practice, not bought off a shelf.
Aesthetic and elective patients research at night and book with whoever answers first. On the practice we built this for, the average time to first reply went from twenty minutes to ten seconds, and it books the consultation rather than taking a message for somebody to action tomorrow. It answers by phone, text and WhatsApp, in your practice voice, and hands anything clinical to a person.
Available to practices across the United States and Canada.
What is an AI receptionist for a clinic?
An AI receptionist answers patient enquiries at the moment they arrive, including nights and weekends, and hands anything clinical to a human. It matters because aesthetic and elective patients research late and book with whoever replies first. An enquiry that arrives at eleven at night and is answered at nine the next morning has usually been lost in between, and nothing in standard reporting shows this, because the enquiry was captured and looks identical to every other lead in the CRM. A working setup does four things: replies immediately with a real answer to the question asked rather than a form receipt, escalates anything involving medication, suitability or contraindication to a person, continues following up if nobody responds, and writes the whole exchange back to the CRM so the enquiry stays attributable. A chatbot that cannot answer the real question makes this worse, because it adds a step before the same silence.
How this actually works.
Human-grade
Trained on your treatments, pricing logic, tone and FAQs. Patients experience your best coordinator, not a chatbot.
Always on
Nights, weekends and holidays, which is exactly when high-intent enquiries arrive and go unanswered.
Hands over cleanly
The moment a conversation needs a person, your team takes it with full context. It does not invent clinical answers.
Wired to revenue
Every conversation lands in the CRM with its source, so front-desk follow-up appears in the revenue reporting too.
What people ask before buying this.
Will patients know it is AI?
Judge it yourself on a demo. It answers in your practice voice and escalates to a human rather than bluffing.
What stops it giving medical advice?
It is scoped to answer logistics, pricing and process, and to hand over the moment a question turns clinical.
Is this a product I sign up for, or something you build?
Built, for your practice specifically. There is no self-serve signup and no monthly licence for software you did not shape. We configure the answering logic around your treatments, your pricing rules, your escalation boundaries and your CRM. That takes longer than a signup and it is the reason it answers like your clinic rather than like a generic bot.
How is this different from an answering service?
A traditional medical answering service takes a message. This answers the question. A human service reads from a script and cannot tell a prospective patient what a procedure costs or whether recovery affects their work. Ours can, because it is configured from your own material, and it books directly into your calendar rather than emailing the practice to call somebody back.
What happens with clinical questions?
They stop and wait for a person. Anything touching medication, suitability or contraindication is escalated rather than answered, and that boundary is configured before launch rather than learned afterwards. Speed matters everywhere in this process except here.
Does it handle phone calls or only web enquiries?
Both, and the phone half matters more than practices expect. Between 40 and 60% of healthcare conversions arrive by phone rather than through a form, so a setup covering only web enquiries reaches the smaller half of the problem. It also covers text, and WhatsApp where patients use it, which matters more outside the US than inside it.
Does it actually book, or does it take a message?
It books. The difference sounds small and decides the outcome: a message means somebody calls back tomorrow, by which time a patient who enquired with three practices has chosen one of the other two. It reads real availability, offers real slots, and writes the appointment into the calendar your front desk already uses.
How fast is it, honestly?
On the practice we built it for, average time to first reply went from twenty minutes to ten seconds. Twenty minutes was during opening hours. Overnight the honest comparison is not twenty minutes, it is the following morning, which is where most of the lost bookings actually were.
Can different departments have their own number?
Yes. Injectables, surgical consults, billing and post-treatment questions can each answer on their own line with their own logic and their own escalation path, instead of one number and a menu that asks a patient to guess which option they are. For multi-location groups the same applies per site.
How is this different from a virtual receptionist?
A virtual receptionist is a person, usually shared across many businesses, working from a script about your practice. They are good at being human and limited by being one person on one call at a time, during the hours you pay for. This answers every enquiry at once, at any hour, from your own material, and escalates to your team when a human is genuinely the right answer.
Is it HIPAA compliant?
It is built so protected health information stays inside infrastructure covered by a Business Associate Agreement, and nothing carrying an identifier reaches an advertising platform. Where the engagement requires access to PHI, a BAA is executed before work begins.
Do you work with practices in the United States and Canada?
Yes. The work is remote and the systems are cloud-based, so the engagement runs the same way it would for a practice down the road. Calls are scheduled in your timezone. Where a project needs someone physically present, which is rare outside production work, we say so before it starts rather than after.
How does HIPAA affect what you do?
It shapes the design rather than sitting on top of it. Advertising platforms are not HIPAA compliant and are treated as non-HIPAA third parties, so the measurement is built so protected health information never reaches them. Where an engagement requires access to PHI, a Business Associate Agreement is executed before work begins.
What does an engagement cost?
Most start with a fixed-fee diagnostic lasting about ten days, which sizes every gap in booked treatments and produces a roadmap you keep whether or not the work continues. Ongoing engagements sit in the range US practices will recognise for healthcare growth retainers. Pricing is on the plans page and is not quoted by number of hours.
